Printing and Mailing Services: New Hours for 2021

January 8, 2021

New hours of operation for postal and shipping services in the Printing and Mail Services Office will take place effective Monday, January 4, according to director Mary Scroggins. The new hours will be 8 a.m. to noon; 1 p.m. to 4 p.m., Monday through Friday, with faculty and staff personal mailing package hours from 10 to 11:30 a.m.

Mailing Rates Increasing Jan. 26

The U.S. Postal Service has announced increases from 2-4.1 percent overall for Priority, Express, Media, International, and special services such as Certified Mail starting January 26, 2020. First-class letter mail remains the same with no increase and is .55 for a first-class stamp. Mailing services director Mary Scroggins would like to provide this information as a service to UP faculty, staff, and students. Scroggins most likely had nothing to do with the increased rates.

Printing Services: New “My Order Desk” Software Launch

January 10, 2020

Printing services is announcing the launch for their new Web to Print software program, “My Order Desk,” according to director Mary Scroggins. All future print requests and paper orders will be placed through the new site. The program offers tools to track and see costs, view project histories, order reprints, and more.

Spring Book Orders, Course Pack Submissions Due by Friday, Nov. 1

October 25, 2019

All spring 2020 book orders and course pack submissions are due to printing services no later than Friday, November 1. The lead time is needed to assure all copyrights are properly adhered to and to allow time for large large print orders.

How to place book orders

  • Website (www.uportland.bncollege.com), go to Faculty Resources, located in the upper right corner of our home page. Registered users can save time by selecting the same information as previous semesters.
  • Email (bksuportland@bncollege.com or cave@up.edu)
  • Telephone (x7125—please ask for Erin Cave or Mark Heinowski)

Even if your class does not use a textbook, please let Barnes and Noble know.

For course pack submissions: Submit course pack materials to printing services no later than November 1, 2019 to ensure they are on the Barnes and Noble shelves prior to the start of classes.

Course Materials & Lab Manual Request Deadline: June 24, 2019

The deadline for fall 2019 course pack materials and lab manual requests from faculty to printing services came and went on Monday, June 24, 2019, according to Mary Scroggins, printing services. To date her office has received a total of 13 requests.

All faculty are asked to submit their requests as soon as possible. Due to the high volume of lead-time required for course pack production, materials received after the deadline may not be available in the bookstore for sale at the start of the semester. Printing services produced 5,730 course packs for the 2018-2019 school year, with a total of 627,781 pages.

Course syllabi requests must be received by printing services by August 12, 2019 as well.

New Process for All Purchased Class Materials

The printing and mailing services office and the Pilot House bookstore are now partnering for the purchase of course packs and lab manuals, according to Mary Scroggins, printing and mailing services. This new process goes into effect for spring 2019 orders. Exams, handouts, and other not-for-purchase items will not be affected.

Faculty will still send their requests to printjobs@up.edu. Printing services will submit all materials to be purchased for classes through an outside vendor, Xanedu. The vendor will then create print-ready documents with a barcode embedded so the bookstore can sell them.

To ensure that there are no delays in students receiving class materials, please follow these guidelines:

  • For copyrighted content: Submit your request to printjobs@up.edu six weeks prior to sale date.
  • For non-copyrighted content: Submit your request to printjobs@up.edu four weeks prior to sale date.

Once your order is finalized, Xanedu will send it to printing services for production. Printing services will no longer directly handle any of the copyright clearance authorization or file preparation for course packs and lab manuals. When the order is complete, printing services will deliver it to the bookstore for student purchase.

Please keep in mind that it is critical to order purchased class materials on time. Printing services can no longer just print late orders on the spot.
