Tired of Changing Your Network Password Every 4 Months?

Information Services is pleased to announce that all faculty and staff will be moved to a 2-year password expiration with the completion of the 2022 Cyber Security Training and registration into the Multi-Factor Authentication (MFA) program.

2022 Cyber Security Training is now available for all Faculty and Staff through Moodle. This is a required annual training program focused on changing user behaviors and reducing cyber risk to the university. 

Multi-Factor Authentication (MFA) is an authentication method that requires the user to provide two or more verification factors to gain access to a resource such as email, Moodle, SelfServe, Banner, etc. Currently you enter your username and password, but when you enroll in MFA you will be prompted for a second form of authentication. Once we achieve 90% completion of the training and MFA enrollment across all faculty/staff, you will be migrated you from the existing 4 month password expiration to a 2-year expiration.

Reimbursement and Payment Request Reminders

The Controller’s Office has some reminders to help us better serve you and make the processing of reimbursement and payment requests more efficient and timely.  

  1. Emailing requests to accounts_payable@up.edu is the preferred method to submit to the Controller’s Office. Paper submissions will be accepted but may be delayed as we convert the requests into an electronic format.  
  2. The Reimbursement and Payment Request form, along with all supporting documentation, must be submitted as one PDF file. Please do not submit as separate attachments in your email. There is too much risk of documents being separated and errors being made.
  3. Documents must be formatted as a PDF. Submissions with photos embedded in the body of the email cannot be accepted.
  4. Budget director approval of the budget(s) being charged is required. Digital signatures are allowed. Typing of the name on the form is not sufficient. Email approval is allowed but documentation of the approval must be included as part of the single request file described in item #2.
  5. Receipts must be itemized—show date of purchase and include proof of payment.
  6. Supporting documentation must be legible. Documentation that is too small, blurry, too dark, etc. will not be accepted.

Butine Faculty Development Grants

The Committee on Teaching and Scholarship (TAS) is pleased to announce that the Fall 2022 cycle for Butine Faculty Development grants is now open. Full-time faculty, instructors, lecturers, and librarians (at assistant, associate, and senior ranks) are eligible to apply. All applicants must have an appointment for next year to be eligible.

If you are expecting to apply for a Butine this Fall semester, please take note of the following deadlines and workshop information below.

Submit your completed Butine application to Teaching and Scholarship via Moodle page and to your department chair and/or Dean.

Undergraduate Research Protocol

The Provost’s office would like to remind all faculty members conducting collaborative research with undergraduates in the Fall semester that the Dean’s Council approved a uniform, university-wide protocol for all undergraduate research projects. A list of the items required each semester as part of the protocol can be found in the Undergraduate Research section of the PilotsUP Forms page. The same information is listed below. Any student receiving a stipend or credit for an undergraduate research project at UP is expected to complete the protocol, and faculty members are responsible for informing students of this expectation.

Undergraduate Research Protocol:

  • Learning Agreement—This form is completed by both the faculty member and student. The faculty member must complete their portion of this online form first.
  • Responsible Conduct in Research Training—New users will need to create a CITI account and affiliate with University of Portland during the registration process to access the course. After creating an account, the user must select the appropriate Responsible Conduct in Research (RCR) course from the UP course selection menu. Both faculty members and students must complete CITI’s RCR course, if they have not done so at a previous time.
  • Pre-Experience Survey for Students—To be completed by the student during the first week of the project each semester.
  • Post-Experience Survey for Students—To be completed by the student during the last week of the project each semester.
  • Post-Experience Evaluation—To be completed by the faculty member at the conclusion of the project each semester.

A First-Generation (FGEN) college student is defined as an individual who attends college when neither of their parents/guardians earned a 4-year college degree. The Shepard Academic Resource Center is developing programming specifically for UP First-Generation (FGEN) students and can use your help! Currently, 36% of our incoming students are FGEN, the highest number in our program’s history. We would love to update our master roster of current UP faculty and staff who were FGEN students. If you are an FGEN student, please take a moment to fill out the survey linked here; we would love to hear from you!

Spring 2023 Provost’s Initiative for Undergraduate Research (Apply by Nov. 1)

Since its inauguration in 2015, the Provost’s Initiative for Undergraduate Research has provided support for faculty members from across the University who collaborate with undergraduates on a semester-long research project. The provost’s office is committed to increasing opportunities for student experiential learning, and this initiative represents a key element in achieving that goal.

Faculty members are invited to apply for a Provost’s Initiative grant for support to collaborate with an undergraduate on a co-designed research project during the spring semester 2023. Students are expected to meet and work with the faculty member weekly. Students will enroll in a 493 course and will earn a minimum of 1 credit for their work on the project and produce a deliverable (research paper, lit review, or presentation, etc.) appropriate to the discipline. (Note: 1 credit hour typically requires 45 hours of work on the project, which includes faculty meeting time.) Faculty members who are new to undergraduate research at University of Portland will receive $1,500 for mentoring the student in research, while experienced faculty members will be compensated $1,000.

Women Are the Future of Manufacturing Event for Students (Nov. 10)

On November 10 from 2 p.m.–4:30 p.m., The Manufacturing Institute is hosting a free educational and networking event for female students and young women pursuing STEM-related majors and programs called Women are the Future of Manufacturing (students can register at that link).

Attendees will hear from a variety of women leaders in the manufacturing and transportation industries, including a panel of rising female stars who are excelling in their roles and can directly talk about the benefits and opportunities of pursuing a career in these fields. There will also be a chance for attendees to network with women in the industry and company representatives from the area and to join a mentorship program that connects them with a female role model.
