Faculty Deferred Pay Option
All nine-month faculty members can opt in to be paid over a 12-month span, according to Debbie Schwartzkopf, payroll. This process begins with September paychecks and holds a portion aside for nine months, then pays out over June, July, and August of the following summer. To sign up for this option, download the form from the payroll website at this link or come into the payroll office to fill out a paper form. Faculty who sign up for this program remain enrolled until they give written notice that they do not want to participate in the program. There is no need to renew each year.
All forms must be submitted to the payroll office no later than Friday, September 11, 2015, to be eligible for the 2015-2016 academic year, otherwise the next opportunity will be for September of 2016. Contact payroll at 8338 or payroll@up.edu for more information.
Electronic W-2 Forms Ready
Employees who have signed up for electronic delivery of W-2 forms can now access them in Self-Serve, according to Debbie Schwartzkopf, payroll. If employees want to get an electronic copy they will need to opt in to be able to access them electronically. Paper copies will be mailed by Thursday, January 29.

W-2 Forms Coming Soon
W-2 forms will be available electronically this week, according to Debbie Schwartzkopf, payroll. An e-mail will be sent to each employee who has signed up for electronic delivery informing them that they are ready. Paper W-2 forms will be sent out the following week to employees’ permanent addresses, no later than January 31.
Updated timesheet due date schedules for semi-monthly staff and students are now on the payroll webpage at http://tinyurl.com/kx5rj5q. There was a change to the due dates on July 3, 2015.

A Sure Sign It’s Tax Time
W-2 tax documents will be issued by January 31, according to Debbie Schwartzkopf, payroll. Employees who have signed up for electronic delivery will receive e-mail notification that W-2’s are available about a week before paper copies are mailed to their homes. Holiday Payday Information
Due to the Christmas holiday there are some changes to the regular payroll schedule that employees and student workers need to know, according to Debbie Schwartzkopf, payroll.
Monthly (exempt) employees must submit their time records by Wednesday, December 17, for the entire month of December, and will be paid on Tuesday, December 23. Note that monthly employees are being paid early and will not receive another check until January 30, 2015.
Semi-monthly staff employees must submit time cards by Monday, December 15 for the December 1-15 pay period and will be paid on Friday, December 19. Semi-monthly staff employees must submit time cards by Friday, December 19 for the December 16-31 pay period, and will be paid according to the usual schedule on Monday, January 5. Please note that most semi-monthly employees will have holiday time from December 24 through the end of the month as well as New Year’s day.
Student employee timecards for December 1-15 are due by Wednesday, December 17 so students can be paid on Tuesday, December 23. The following student payroll, for hours worked from December 16-31, is due on January 5, and will follow the usual schedule in January for payment on January 10. Please be sure to have all timecards submitted by employees so supervisors have time to approve them prior to the 9 a.m. deadline the morning after timecards are due.
The 2015 payroll processing calendars are available on the payroll webpage at http://www.up.edu/payroll/. Please note that, due to feedback from several student timesheet approvers, the approval deadline has been adjusted for 2015. Students will submit their timesheets a day earlier on most pay periods, and supervisors will have the extra day to insure the timesheets are approved by the 9 a.m. deadline. This gives approvers more than 24 hours to make sure all timesheets are completed and approved on time.

News You Can Use On Your W-2’s
Employees are encouraged to sign up for electronic delivery of W-2 forms, according to Debbie Schwartzkopf, payroll. An e-mail will be sent letting employees know when the W-2 is available to print (usually a week earlier than the printed version is mailed out). Sign up by going into Self-Serve, Employee, Tax Forms, Electronic W-2 Consent. Read the information and check the “My Choice” box to enroll in electronic delivery. This remains in effect each year so you only have to sign up once.
The payroll office would like to be sure that all employee information is correct for their year-end W-2 processing. Please check the spelling of your name, address, and withholding allowances so payroll personnel can make the changes by December 12, 2014. Employees can review their direct deposit advice or look in self-serve and verify their information. If they need to make changes they can e-mail the payroll office with the address change or fill out a new W-4 for withholding allowance changes.
